Stanfield + O’Dell is currently seeking an Audit Administrative Assistant who will be responsible for the administrative support to the audit department and the Shareholders. The ideal candidate must be proactive, a team player, and have the ability to work independently. They must also demonstrate the behavioral abilities of exceptional communication and organization skills, detail oriented, and the ability to prioritize a variety of projects.

Primary Responsibilities

  • Responsible for all aspects of audit processing including:
    • Engagement letters – proof, process and deliver per instructions (paper or e-issue)
    • Make changes to financial statements and letters in Engagement program as requested
    • Process confirmations and mail
    • Proofread all audit related documents
    • Process reports
    • Finalization of all audits
    • Update audit forms as needed
    • Prepare audit budget time reports
    • Order audit supplies – paper, covers, binding strips
    • Electronic filing of signed engagement letters and management representation letters
  • Make auditor travel arrangements, if needed
  • Serve as a backup to the tax administrative assistant through understanding of job requirements and processing of tax returns
  • Route and answer routine requests, calls and correspondence not requiring supervisor attention for employees and clients
  • Provide general administrative support

Proofreading

  • Read and evaluate drafts for grammatical and typographical error
  • Compare drafts against standard format to identify errors or omission, and evaluate the dimensions of page elements such as images, text spacing and positioning to ensure they conform to set specifications
  • Ensure page numbers are in the right order and not repeated or omitted
  • Analyze documents to ensure statement titles match list of contents
  • Work directly with audit staff to clarify grammatical inconsistencies related to style and text choice (and ability to rephrase written text to ensure document structure and content are consistent)
  • Forward proofread materials for approval from audit staff
  • Ensure project is completed within set time constraints

Additional Responsibilities

  • Prepare remote deposits for S+O
  • Tax/CAS bank deposits to various banks as needed
  • Serve as a backup to receptionist or other admin staff through understanding of job requirements
  • Interact with all levels of company personnel as well as client personnel, community leaders and other third parties where the relationship is critical to the firm
  • Communicate effectively and professionally with all levels of company personnel as well as client personnel
  • Understand and anticipate client needs and administrative needs and deliver high quality service and results
  • Flexible to handle other projects, sometimes on short notice, that provides support to professionals and S+O staff.

Requirements

  • Excellent English usage, spelling, grammar and punctuation
  • Ability to manage assigned tasks and follow through to completion
  • Ability to work in a team environment
  • Ability to problem solve with little or no direction
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation
  • Excellent telephone and oral communication skills

  • Comfortable dealing with shareholders and working in a very professional work environment
  • Experience in a support position of public accounting or professional services firm or related experience
  • Familiarity with financial concepts preferred
  • Proficiency with Microsoft Word, Excel and Outlook.  Some experience with Adobe, Constant Contact, Power Point and Publisher a plus.
  • High level of understanding of technology and experience utilizing office technical tools, including scanners, printers and copiers
  • Knowledge of typical office methods and procedures, filing, telephone techniques,
  • Ability to work additional hours as needed, including overtime and weekend hours required  during busy seasons
